That invitation carries a responsibility that extends well beyond the cleaning itself. The information you share with us, and what our teammates see and learn while serving you, deserve the same care and discretion we bring to the work.
This Privacy Policy explains what information PrismPro Cleaning Solutions, LLC collects, why we collect it, how we use and protect it, when and with whom we share it, and what choices and rights you have. It applies to our website at www.prismprocleaning.com, our booking and quote forms, our phone and text communications, our service agreements, and the cleaning services we perform for residential and commercial customers.

Property access information — keys, lockbox codes, garage codes, gate codes, alarm codes, building access instructions, and similar credentials you choose to share so our teammates can perform service.
Payment and billing information — credit or debit card details, billing address, and payment history. Card details are collected and stored by our third-party payment processors; PrismPro Cleaning Solutions, LLC does not store complete card numbers on our own systems.
Agreement and consent records — your signed service agreement, your photo and video consent selection, your communication consent selections, and the date, time, and method by which each consent was given.
Communications — the content of emails, text messages, contact form submissions, voicemails, and reviews or feedback you send us, along with notes our team records about service calls and quality concerns.
Job applicant information — if you apply to work with us, your resume, work history, references, assessment responses, availability, and any information you provide during interviews. Where required for a role and permitted by law, this may also include background check results and information needed to verify eligibility to work.

Maintain quality control records, including inspection results and follow-up documentation

Review and respond to job applications and manage our hiring process
Comply with our legal, tax, insurance, and recordkeeping obligations
Protect the safety of our teammates, our customers, and our property, and to establish or defend legal claims
We do not sell or rent your personal information to third parties, and we do not use your information for automated decision-making that produces legal or similarly significant effects.
4. SMS and Text Messaging Communications
PrismPro Cleaning Solutions, LLC operates a text messaging program for customers and prospective customers who choose to participate. This section explains how that program works and how your mobile information is handled.
4.1 No Mobile Information Is Shared
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All of the other information-sharing categories described in this Privacy Policy exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
Mobile phone numbers collected for the purpose of SMS communication are used solely by PrismPro Cleaning Solutions, LLC to communicate with you. They are disclosed only to the technology vendors that operate our messaging platform on our behalf, strictly for the purpose of delivering those messages to you, and those vendors are prohibited from using the information for their own purposes.

Providing a phone number alone does not grant PrismPro Cleaning Solutions, LLC permission to send you text messages. SMS consent is collected separately and explicitly through one or more of the following:

Consent to receive marketing or promotional text messages is always optional, is never a condition of purchasing any service, and is never required in order to submit a form or book an appointment. Consent for service-related messages is collected separately from consent for marketing messages.

Message and data rates may apply. These charges come from your mobile carrier, not from PrismPro Cleaning Solutions, LLC. Please contact your carrier for details about your plan.

4.7 How to Opt Out
You may cancel text messages from PrismPro Cleaning Solutions, LLC at any time by replying STOP to any message you receive from us. After you reply STOP, we will send one final message confirming that you have been unsubscribed, and you will receive no further text messages from us unless you opt in again. You may also opt out by emailing info@prismprocleaning.com or calling (316) 232-8700.
Opting out of marketing messages does not remove you from essential service communications about appointments you have booked, unless you ask us to stop those as well.
4.8 Carrier Liability
Mobile carriers are not liable for delayed or undelivered messages.
5. Email and Phone Communications
If you provide your email address, we will use it to send service-related communications such as quotes, confirmations, invoices, and responses to your questions. If you have separately consented to marketing emails, you may unsubscribe at any time using the link at the bottom of any marketing email or by contacting us directly. Unsubscribing from marketing email does not stop service-related email about appointments you have booked.
Phone calls with our office may be recorded or transcribed for quality assurance, training, and accuracy of record. Where a call is being recorded, we will disclose that at the beginning of the call. If you prefer not to be recorded, please tell us and we will document your request.
6. Cookies and Tracking Technologies
Our website uses cookies and similar technologies to keep the site functioning properly, remember your preferences, understand how visitors use our pages, and measure the effectiveness of our advertising.

Our teammates. Cleaning technicians and field managers receive the service address, access instructions, scope of work, and any special notes needed to perform your service. All technicians undergo background checks before entering customer properties, and access to customer information is limited to what each role requires.
Technology and service providers. These include payment processors, scheduling and job management platforms, customer relationship management and communication platforms, website hosting and form providers, email and text messaging providers, payroll and human resources systems, background check vendors, and accounting and bookkeeping software. These providers may process personal information only on our instructions and for the purpose of providing their service to us.
Professional advisors and insurers. Our attorneys, accountants, and insurance carriers may receive information where necessary to advise us, process a claim, or defend a matter.
Legal and safety disclosures. We may disclose information where we are required to do so by law, subpoena, court order, or other valid legal process, or where we believe in good faith that disclosure is necessary to protect the rights, property, or safety of our customers, our teammates, or the public.
Business transfers. If PrismPro Cleaning Solutions, LLC is involved in a merger, acquisition, or sale of all or part of its assets, customer information may be transferred as part of that transaction. We do not sell, rent, or trade your personal information to third parties for their own marketing purposes.
Text messaging originator opt-in data and consent are excluded from every category of sharing described above and will not be shared with any third parties. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes.

Some members of our administrative support team, and some of the technology vendors we rely on, may access customer information from outside the United States in the course of performing back-office, scheduling, and customer support work on our behalf.
Anyone who accesses customer information on our behalf, regardless of location, is bound by confidentiality obligations, is granted only the access their role requires, and is prohibited from using the information for any purpose other than serving our customers. Mobile opt-in data and SMS consent records remain excluded from any sharing with third parties.
9. How We Protect Your Information
We take reasonable and appropriate administrative, technical, and physical measures to protect personal information, including:
Encrypted connections for website forms, online payments, and data transmission
Payment processing through PCI-compliant third-party processors, so that full card numbers are not stored on our systems
Role-based access controls that limit each teammate to the information their position requires
Background checks on all cleaning technicians prior to entering customer properties
Confidentiality expectations set during onboarding and reinforced through ongoing training
Secure handling procedures for keys, access codes, and alarm information
Prompt removal of system access and return of property when a teammate leaves the company
Regular review of our security practices and vendor relationships
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we become aware of a breach affecting your personal information, we will notify you and any required authorities as the law directs.
10. Property Access and In-Home Privacy
Because our work takes place inside your home or business, we hold ourselves to standards that go beyond data handling.
Keys, lockbox codes, alarm codes, and access instructions are stored securely, shared only with the teammates assigned to your property, and used solely to perform your scheduled service. Physical keys are labeled in a way that does not identify your address to anyone outside our team. If you end service with us, we will return your keys and remove your access credentials from our systems on request.
Our teammates are trained not to read, photograph, move, or discuss personal documents, mail, medications, valuables, or anything else they encounter while working. What our teammates observe in your space stays in your space.
11. Data Retention
We keep personal information only as long as we have a legitimate need for it.
Customer service records, agreements, and communication history are retained for the duration of your relationship with us and for a reasonable period afterward so that we can address questions, warranty concerns, or disputes. Financial and tax records are retained for at least seven years as required by law. Consent records, including SMS opt-in and opt-out records, are retained for as long as needed to demonstrate compliance with communication laws. Job applicant records are retained for the period required by employment law, after which they are deleted unless you have asked us to keep your application on file.
Access credentials such as alarm codes and lockbox codes are deleted when your service ends or when you ask us to remove them, whichever comes first.
When information is no longer needed, we delete it or render it anonymous.
12. Your Rights and Choices
You have the right to:
Access the personal information we hold about you
Correct information that is inaccurate or incomplete
Delete your personal information, where deletion is legally permissible and we have no overriding obligation to retain it
Withdraw consent to receive text messages, marketing emails, or the promotional use of photos and video, at any time
Opt out of marketing while continuing to receive service communications about appointments you have booked
Request a copy of the information you have provided to us in a portable format
Ask questions about how your information is being used, and receive a straight answer

We will respond within the timeframe required by applicable law, and we will not treat you differently or refuse service because you exercised a privacy right. We may need to verify your identity before acting on a request.
13. State Privacy Rights
Some states grant residents additional rights regarding personal information, which may include the right to know what categories of information are collected and disclosed, the right to correct or delete information, the right to opt out of the sale or sharing of personal information or targeted advertising, and the right to appeal a denied request.
PrismPro Cleaning Solutions, LLC does not sell personal information and does not share it for cross-context behavioral advertising. 14. Job Applicants and Employment
If you apply for a position with PrismPro Cleaning Solutions, LLC, the information you provide is used to evaluate your application, communicate with you about the hiring process, verify your qualifications, and, if you are hired, to onboard you and administer employment.
Where a background check is part of the hiring process for a role, we obtain your written authorization first, use a consumer reporting agency, and follow the notice and adverse action procedures required by the Fair Credit Reporting Act. Background check results are considered individually and in context.
Applicant information is not sold, is not used for marketing, and is shared only with the hiring team and the vendors that operate our applicant tracking, assessment, and background check systems.
15. Photos and Video Content
PrismPro Cleaning Solutions, LLC may capture photos or video of cleaning projects for two purposes: internal documentation, including recording the condition of a space before and after service, and promotional use showcasing the quality of our work.
Documentation photos are taken as a matter of routine practice to protect both you and our team. They record pre-existing conditions, verify completed work, and support quality control. These images are retained internally and are not published.
Promotional photos and video may appear on our website, social media pages, advertising, and marketing materials. Their use is entirely your choice.
Whenever we use media promotionally, we commit to the following:
We will never publish your name, address, or any identifying details
We will avoid capturing personal items, family photographs, mail, medications, or any sensitive content
All media is reviewed before publication to confirm it upholds customer confidentiality and reflects our professionalism
Your consent preference for promotional use is collected through our Service Agreement and can be changed at any time by contacting us at info@prismprocleaning.com. If you withdraw consent, we will stop future promotional use and make reasonable efforts to remove existing published media that we control.
16. Third-Party Websites and Links
Our website, emails, and messages may contain links to third-party sites such as payment portals, review platforms, social media pages, and scheduling tools. Once you leave our site, this Privacy Policy no longer applies. We encourage you to read the privacy policy of any site you visit. Our website and services are directed to adults. We do not knowingly collect personal information from children under the age of 13. Our teammates may encounter children in the course of working in a home. Our team does not photograph children, and any documentation image that inadvertently includes a child is deleted.
